HOW THE HEADSHOT BOOTH WORKS

STEP 1 : Designing Your Experience

We create a custom designed experience including private image galleries for each participant with your chosen branding, message and activation links. Our headshot sign-up form can be branded and modified to include specific data collection based on your needs

STEP 2 : Creating Headshots On-Demand

We install our headshot station with optional signage, slideshows, and even professional hair and makeup to create the ultimate experience for your attendees. We collect information from each participant then use professional lighting, posing direction, and expression coaching to create beautiful, professional headshots for each person.

STEP 3 : Instant Delivery!

Each participant gets their headshots instantly delivered to their email within seconds of the final click. All the images are displayed in a private, individual gallery complete with your chosen logo, messaging, and call to action.

STEP 4 : Lead Generation and Beyond

At the end of each day, we will provide you with a full list of the participants and all the information collected from them at sign-up. At this point, we have already handled the delivery of all the images to each participant, leaving no work to do there. We will continue to host and manage the images on your behalf while you utilize the lead list.

Headshot stations can be booked for a half day (up to four hours) or a full day (up to eight hours). First, consider your event schedule and the number of people needing headshots. Then, decide on the amount of coverage you require. Each headshot station can usually accommodate up to 20-30 people per hour.

The base price for your conference headshots covers the essentials. Additionally, you can enhance the experience for your attendees with some incredible extras. How many people can you provide headshots for at an event?

Each headshot station can serve an average of 20 people per hour, although this can vary based on several factors. If the booth is in a common, highly-visible area, it tends to attract more traffic. Typically, the headshot station is one of the busiest attractions at any conference. Offering complimentary headshots is as popular as giving out candy bars at a kindergarten—expect it to be a big hit. Under ideal circumstances, a single station can serve between 200 and 300 people in a full day.

Do the photos from events need retouching?

The need for retouching depends on the intended use of the images. We have the ability to provide a basic retouch on all images or to allow attendees to upgrade to retouching on their own, whichever serves you best. We also use lighting and posing techniques, along with great expression coaching and optional professional hair and makeup touch-ups to ensure the images look great straight out of the camera. Check out our conference headshot dos and don’ts here.

How are the images delivered?

Regarding image delivery, you have options. We organize all images by renaming the files to match the person in the headshot. For example, 1234.jpg becomes Smith_Jane.jpg, making it easier to get the right images to the right people. Once organized, we sort them into individual galleries for each person and can deliver them individually or in a single gallery, based on your needs. All files are delivered by email. If your company requires a specific FTP or upload system, we are happy to accommodate.

Do you also offer event photography?

Absolutely! We have dedicated event photographers on staff who know how to capture what matters most at an event. Our team has served clients like Microsoft, Bloomberg, Blue Origin, UBS Financial, Veritas, and more. In addition to event coverage, we offer step-and-repeat photos, photo booths, and video services such as testimonials and promos. Do attendees just line up for headshots or can they make an appointment?

Both! We can operate a headshot station on a first-come, first-served basis or allow advanced scheduling for your attendees. We recommend a mix of both. This way, you can offer some attendees the option to skip the line with an appointment, while still leaving room for walk-ups. We will work with your team to create the best of both worlds.

What happens to the data you collect after the job?

We do not share or sell any data with anyone other than who you specifically designate in advance. We maintain and secure your data in our delivery platform with full encryption at rest and transport security. Data can also be permanently deleted when your job is complete and you have all your images locally backed up. Our processes and software are fully GDPR compliant. We can assist you with any of your privacy needs, just tell us what you need!

A single headshot booth can accommodate 20-30 per hour of shooting. If you have a specific number of people you want headshots for that exceeds that, we can easily add more stations.

Although this can vary, each person spends 2-5 minutes in front of the camera. Our team are experts at getting great results quickly! If you have a smaller group and want a more relaxed experience, we can provide that too.

All of the images and data we collect and upload are encrypted at rest with transport security. We can delete all data on request and are fully GDPR compliant.

A headshot booth needs a 10′ x 10′ space minimum with access to power and internet. 20′ x 10′ is ideal, but we have worked in spaces of all shapes and sizes, depending on what’s available.
