STEP 1 – SELECT YOUR COVERAGE
Headshot stations can be booked for a half day (up to four hours) or a full day (up to eight hours). First, consider your event schedule and the number of people needing headshots. Then, decide on the amount of coverage you require. Each headshot station can usually accommodate up to 20-30 people per hour.
You can choose either a half-day (up to 4 hours) or a full-day (4-8 hours) of headshot station coverage. The headshot station includes: All images in high resolution, file organization (renaming files to the person in the photo), a standard commercial usage license, a lead list of all people photographed. Headshots can be delivered to each person in private galleries or as a complete gallery of images.
If the amount of headshots you need or the time-constraints of your event require more than a single headshot station can cover, adding an additional headshot station can make sure everyone gets a great headshot in the time allowed. Additional stations also reduce the wait times for attendees.
STEP 2 – SELECT YOUR EXTRAS
The base price for your conference headshots covers the essentials. Additionally, you can enhance the experience for your attendees with some incredible extras. Options like instant headshot delivery and hair and makeup services can create a truly memorable experience. These upgrades will generate buzz for weeks.
Increase the wow factor of your headshot station with instant delivery. With this feature, each participant will receive a private gallery of images via email within minutes of being photographed. We take care of hosting, delivery, and support for all participants, so you have zero admin work.
Enhance the experience by providing attendees with basic retouching on all delivered images. This includes blemish removal, wrinkle reduction, and teeth whitening for all photos.
To help everyone look their best, we offer an on-site hair and makeup station. This gives everyone getting a headshot the option of a quick touch-up before stepping in front of the camera. It adds fantastic value for attendees and improves the final look of the images by eliminating stray hairs and reducing facial shine.

Our full-day headshot station includes file organization (renaming) and your choice of either on-site selection or instant delivery. You also get a lead generation list, individual private galleries, and delivery galleries both to individual participants and a full gallery for the company contact.
This package includes all items from the Headshot Essentials package, along with on-site hair and makeup touch-ups, basic retouching on all images, advanced custom scheduling, and a second headshot station.

How many people can you provide headshots for at an event?
Each headshot station can serve an average of 20 people per hour, although this can vary based on several factors. If the booth is in a common, highly-visible area, it tends to attract more traffic. Typically, the headshot station is one of the busiest attractions at any conference. Offering complimentary headshots is as popular as giving out candy bars at a kindergarten—expect it to be a big hit. Under ideal circumstances, a single station can serve between 200 and 300 people in a full day.
Do the photos from events need retouching?
The need for retouching depends on the intended use of the images. We have the ability to provide a basic retouch on all images or to allow attendees to upgrade to retouching on their own, whichever serves you best. We also use lighting and posing techniques, along with great expression coaching and optional professional hair and makeup touch-ups to ensure the images look great straight out of the camera. How are the images delivered?
Regarding image delivery, you have options. We organize all images by renaming the files to match the person in the headshot. For example, 1234.jpg becomes Smith_Jane.jpg, making it easier to get the right images to the right people. Once organized, we sort them into individual galleries for each person and can deliver them individually or in a single gallery, based on your needs. All files are delivered by email. If your company requires a specific FTP or upload system, we are happy to accommodate.
Do you also offer event photography?
Absolutely! We have dedicated event photographers on staff who know how to capture what matters most at an event. Our team has served clients like Microsoft, Bloomberg, Blue Origin, UBS Financial, Veritas, and more. In addition to event coverage, we offer step-and-repeat photos, photo booths, and video services such as testimonials and promos. Do attendees just line up for headshots or can they make an appointment?
Both! We can operate a headshot station on a first-come, first-served basis or allow advanced scheduling for your attendees. We recommend a mix of both. This way, you can offer some attendees the option to skip the line with an appointment, while still leaving room for walk-ups. We will work with your team to create the best of both worlds.
What happens to the data you collect after the job?
We do not share or sell any data with anyone other than who you specifically designate in advance. We maintain and secure your data in our delivery platform with full encryption at rest and transport security. Data can also be permanently deleted when your job is complete and you have all your images locally backed up. Our processes and software are fully GDPR compliant. We can assist you with any of your privacy needs, just tell us what you need!
