STEP 1 – SELECT YOUR COVERAGE
Headshot stations are booked on a half day (up to four hours) or full day (up to eight hours) basis. Based on the schedule of your event and the number of people you need headshots for, decide how much coverage you will need. Each headshot station can typically serve as many as 20 people per hour.
Half day (up to 4 hours) or whole day (4-8 hours) of headshot station coverage. The headshot station includes: All images in high resolution, file organization (renaming files to the person in the photo). a standard commercial usage license, a lead list of all people photographed and their contact info in Excel or CSV format, and individual model releases for all photographed. Headshots can be delivered to each individual person in private galleries and/or as a complete gallery of images based on your needs.
If the amount of headshots you need or the time-constraints of your event require more than a single headshot station can cover, adding an additional headshot station can make sure everyone gets a great headshot in the time allowed. Additional stations also reduce the wait times for attendees.
STEP 2 – SELECT YOUR EXTRAS
The base price for your headshot booth covers the basics of what you will need, but you can enhance the experience for your attendees by adding some incredible extras. From instant headshot delivery to hair and makeup, we can create a truly memorable experience for attendees that will generate buzz for weeks.
Really up the wow factor of your headshot station with instant delivery. With Instant delivery, every participant will be emailed a private gallery of images within minutes of being photographed. We handle hosting, delivery, and support for all participants meaning zero admin work for you.
With on-site selection, our team helps each participant select their favorite image from their session immediately after being photographed. This ensures each person has a headshot that they love delivered individually in private galleries as well as to the company. Those selections can also be retouched for an additional fee.
Enhance the experience by providing attendees with basic retouching on all delivered images. Blemish removal, wrinkle reduction, and teeth whitening included for all images.
To help everyone look their best, we can provide an on-site hair and makeup station so that everyone who gets a headshot has the option of a quick touch-up before they get in front of the camera. This adds fantastic value for attendees and improves the final look of the images by eliminating stray hairs and reducing facial shine.
For clients who want to add extra retouching for participants, Enhanced Retouching is the way to go. Each headshot is hand-retouched and includes corrections beyond basic retouching like stray hair removal, glare on eye-glasses, wrinkle and lint removal, and background replacement.
A dedicated member of our team will create social media friendly content for your marketing team. Vertical video for Instagram, cinematic BTS footage, and stills all delivered to you daily.
For events where there might be executives or VIPs, we offer a custom calendar for any guests you designate so that they can get a great headshot efficiently without waiting in line.

How many people can you provide headshots for at an event?
Each headshot station can average about 20 people per hour. This can sometimes be faster or slower depending on a few factors. If the headshot booth is in a common, highly-visible area, it tends to get more traffic. In most cases, the headshot station is just about the busiest thing going at any conference. Providing complementary headshots at a conference has about the same effect as giving out candy bars at a kindergarten, plan on it being a popular attraction. In a full day, with ideal circumstances, a single station can serve between 200 and 300 people.
Do the photos from events need retouching?
It is all going to depend on the intended use of the images. For a headshot station that’s intended to add value to an event, we don’t recommend it. We use lighting and posing techniques as well as professional hair and makeup touch-ups (optional) to make sure that the images look great right out of camera. If the images are intended to be used for anything larger than LinkedIn or Teams, we recommend adding retouching so that everyone looks their best.
How are the images delivered?
As far as how the images are delivered, you have options. We organize all the images by changing the name of the file to the name of the person in the headshot. So, 1234.jpg becomes Smith_Jane.jpg. This makes it much easier to get the right images to the right people afterward. Once the files are organized, we sort them into individual galleries for each person and can deliver individually and in one single gallery depending on your needs. All files are delivered by email. If your company requires a specific FTP or upload system, we are happy to accommodate.
Do you also offer event photography?
Absolutely! We have dedicated event photographers on staff who understand how to capture what matters most at an event. Do attendees just line up for headshots or can they make an appointment?
Both! We can operate a headshot station on a first-come, first-served basis as well as allow advanced scheduling for executives or VIPs. We recommend a mix of both. That way, your team members can update their headshots without waiting in line and other attendees can take advantage of the experience. We can work with your team to create an experience that is the best of both worlds.
