Planning your team headshots

Where do team headshot sessions take place?

For smaller teams of 2 to 4 people, we can photograph your team in our Orlando photography studio. This is a great option for new hires, partnerships, remote workers, and small startup teams.

For medium to large businesses, it is usually easier for us to bring our portable headshot studio to your office or event location. This keeps your team on site and makes the process much more efficient.

How long does the session take?

It depends on the look and pace you want. Some companies want one clean, consistent headshot per person with no outfit changes. Others want multiple looks or a slower, more customized experience.

For one quality, straightforward headshot per person, each team member usually spends about 3 to 5 minutes in front of the camera. We can typically photograph around 20 people per hour.

If you want a slower pace, multiple looks, or more time with each person, we can design a schedule that fits your team exactly.
What is the best way to organize everyone?

The success of a team headshot day depends heavily on organization. Luckily, we are efficiency experts when it comes to headshots.

  • We can create a custom scheduling link so each team member can choose their own time slot.
  • We photograph each person efficiently while still giving them direction and a good experience.
  • Our on-site selection station allows each person to review and select their favorite image before they leave.
  • After retouching, we deliver a custom online gallery with the selected headshots organized alphabetically.

This process cuts down tremendously on the amount of follow-up work your team has to manage after the session.

Wardrobe and preparation

What should everyone wear?

There are a few factors to consider. First, think about whether your team needs to align with a specific brand look. Many clients give employees a dress code or color palette, such as business attire with navy blue as the main color.

The style of dress is up to you, but these guidelines will help:

  • All clothing should be clean and pressed. We do not remove clothing wrinkles in retouching or offer reshoots if a team member is not prepared.
  • Solid colors usually photograph better than busy patterns.
  • Very bright colors can distract from a great expression.
  • Consider your brand. Are you polished and formal, relaxed and modern, creative and colorful, or somewhere in between?
  • Encourage team members to wear clothes they already know they look and feel good in. Brand-new outfits can sometimes lead to uncertainty after the fact.

What about hair and makeup?

We always recommend working with a professional hair and makeup artist when possible. Depending on the number of people being photographed, full hair and makeup may not be practical for everyone.

For large team headshots, we can arrange for an artist to be on site for quick touch-ups before each person goes on camera. For smaller teams, we can help you connect with an artist who can arrive before the shoot and get everyone camera-ready.

If you choose to work without a hair and makeup artist, that is no problem. Here are a few tips to help everyone look camera-ready:

  • Avoid makeup with SPF. These ingredients are designed to reflect certain kinds of light and can make skin appear shinier on camera.
  • Go easy on blush, which can stand out strongly in photos and can be difficult to correct in retouching.
  • Ask team members to bring a portable makeup kit in case they need a quick touch-up before shooting.
  • We have shine-reducing powder available on site for those who do not wear makeup.

What if my company needs to match previous headshots?

In most cases, if your company has a specific look for your website or brand standards, we can match it. That can include background, lighting style, cropping, file size, and other delivery requirements.

Please provide examples during the planning process so we can make sure the final images fit seamlessly with your existing company headshots.

What else can my team do to be prepared?

A little preparation goes a long way. Here are a few tips to help everyone feel confident and ready:

  • If someone plans to get a haircut or color, they should do it 3 to 5 days before the session.
  • Avoid drastic hair changes right before headshot day. Hair regret is very real.
  • Drink water, use a facial wash, and moisturize in the days leading up to the session.
  • If someone gets a facial, they should schedule it 3 to 5 days before the shoot, not the day before.
  • Avoid alcohol and try to get solid sleep for a couple of nights before the session.

Delivery and next steps

How long does it take to get the images delivered?

Please allow 2 to 4 business days for us to send your gallery. Images are delivered in high-resolution and low-resolution versions for convenience.

Once you receive the files, we recommend downloading them to your computer and saving a backup in a second location.

If you need images faster, rush delivery is available. If your company has specific file dimensions, naming conventions, or delivery requirements, just let us know.
